In short: we only collect what you send us through our forms, we use it to reply to you and to do the work you ask for, we don't sell it, and this site doesn't use advertising or analytics cookies.
Who we are
Coyote Concepts is a web design studio based in North London (N22). We are the controller of the personal data described here. Contact us at hello@coyoteconcept.com.
What we collect, and why
- Enquiries, bookings and briefs (contact, consultation-booking and project-brief forms): your name, email, phone number (optional), business name, and whatever you tell us about your project. We use this to reply, to arrange calls and to prepare proposals. Legal basis: taking steps at your request before a contract, and our legitimate interest in answering enquiries.
- Orders and care or social plans: the details above plus what you order and its price. We use this to deliver and support the work and to keep business records. Legal basis: performing our contract with you, and our legal obligation to keep accounting records.
- Payments: if you pay through a payment provider, card details are handled by that provider. We never see or store your full card number.
- Prospective clients: where a business publicly lists a contact address, we may send a one-off, relevant introduction by email, based on our legitimate interest in business-to-business contact. Every such email says who we are and how to opt out, and we stop when asked.
- Server logs: our host records standard technical data (IP address, browser, pages requested) for security and reliability.
Who we share it with
Only the service providers we need to run the business: our web host (Render), our email provider, and payment providers once payments are connected. They act on our instructions. We do not sell your data.
How long we keep it
Enquiries that don't lead to work: up to 12 months. Client and order records: 6 years after the work ends, to meet accounting and legal requirements. You can ask us to delete earlier where the law allows.
Cookies and similar technologies
We only use what the site needs to work. None of these is used for advertising or tracking:
- Session cookie (essential): keeps you signed in to the admin area and remembers that you've entered the password for a private preview page.
- Theme preference (essential to your choice): a small setting in your browser's local storage that remembers whether you chose the Dusk or Dawn theme.
Because these are strictly necessary, no cookie banner is shown. If we ever add analytics or marketing tools, we'll ask for your consent first and update this page.
Your rights
Under UK data protection law you can ask to see, correct, delete or receive a copy of your data, and object to or restrict how we use it. Email hello@coyoteconcept.com and we'll respond within one month. You can also complain to the Information Commissioner's Office at ico.org.uk.
Changes
If we change this policy we'll update the date above.
